VDS Automation (“VDS”, “we”) attaches great importance to handling personal data carefully. In this statement we explain which data we collect, why, how long we keep it and what rights you have.

Which data do we process?

Via contact forms and the Smart Factory Check

• Name, job title and company name
• Email address and telephone number
• Answers and score from the Smart Factory Check
• The content of the message or the question

Via website visits

• IP address (anonymised where possible), device type and browser
• Pages visited, click and scroll behaviour
• Traffic source (search engine, advertisement, direct link)

Cookies and tracking

We use a limited number of cookies. Non-essential cookies load only after you have given consent for them in the cookie banner.

• Essential: for the website to function correctly and to remember your cookie choice.
• Analytical: Google Analytics 4, to understand in anonymised form which pages are valuable.
• Marketing: LinkedIn Insight Tag and Google Ads, to run campaigns effectively and follow up with visitors appropriately.

You can withdraw your consent at any time via the cookie settings at the bottom of every page.

Purpose of the processing

• Answering questions and requests submitted by form or email
• Running the Smart Factory Check and sending out the report
• Improving our services and website
• Marketing & sales follow-up, respecting your preferences
• Complying with legal obligations

Legal bases

We process personal data on the basis of: consent (cookies), performance of a contract (customer contact), legitimate interest (analysis and marketing optimisation) and legal obligation (record keeping).

Retention periods

• Contact details from forms: 24 months after the last contact, unless they are needed for longer for the customer relationship or our records.
• Results of the Smart Factory Check: 24 months.
• Website analytics: a maximum of 14 months.
• Accounting records: 7 years (legally required in the Netherlands).

Who do we share data with?

We share data only with processors that help us deliver our service, on the basis of a data processing agreement. These include:

• HubSpot (CRM and marketing automation)
• Google (Analytics, Ads)
• LinkedIn (Insight Tag, Ads)
• Microsoft (Azure hosting where applicable)

Your rights

• Access to the data we hold about you
• Correction or completion
• Erasure (“the right to be forgotten”)
• Restriction of processing
• Objection to processing based on legitimate interest
• Data portability
• Withdrawal of consent given earlier

Email your request to info@vds-automation.nl. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Security

We take appropriate technical and organisational measures to protect personal data against loss, unauthorised access or misuse. Connections to this website are encrypted using HTTPS.
