Kooi has now embarked on a new large-scale project: Enterprise Resource Planning (ERP). The ERP system will integrate all business processes within Kooi into one central solution. Finance, HR, supply chain—everything will soon be found in one central database. Erik: “VDS has been brought in to manage the data migration. They are helping to build the data warehouse of the future. And of course, Power BI must once again be seamlessly connected.”

Strategic business thinking also comes naturally to VDS. Marco Banning observes this as well. “Take this ERP project,” he begins. “VDS first helps us ask the right high-level questions. Which data do we want to migrate? From which years? From which systems? Kooi wants to grow quickly, so the project also needs to be scalable. Then, with their expertise, they take care of the implementation.” Marcel adds: “In migrating data from old systems to ERP, it’s easy to get lost. VDS therefore focuses first on the underlying business case for the migration, and only then moves into action. Execution goes much better when you’ve thought it all through together in advance. It means a bit more work upfront, but it’s far more effective in the long run.”

Active Across Multiple Departments

VDS’s support has also extended to other departments at Kooi, such as IT, Finance, and the new Continuous Improvement team. “The only risk is that central communication and coordination must be managed carefully,” Marco analyzes. “The overall service delivery must remain clear and structured, so that’s something we pay close attention to.”

VDS is very flexible and helps us swiftly.” Marcel confirms: “We log data daily by creating a snapshot of our system rentals. That program must always function. We cannot afford ‘off-days,’ as we would lose a day of vital information. If a malfunction occurs, VDS resolves it immediately. This flexibility is highly appreciated.”

Such issues can arise for different reasons, whether in development or from data input on our end,” recalls Erik Kort. “Fortunately, VDS responded quickly by identifying the root cause.” Marco adds: “In any collaboration, it’s important that the responsibilities of client and supplier remain clearly defined. VDS’s expertise is considerable; they often solve small glitches quickly—sometimes even before we notice them ourselves. It’s then reassuring as a client to be kept informed, so that the SLA can continue to serve as the guiding framework.”

Kooi still faces several major IT challenges. “And you simply cannot have all the knowledge in-house. Sometimes specific expertise has to come from outside,” Marco notes. His colleague Marcel agrees: “I would recommend Kooi to maintain the partnership with VDS. You know it will be done quickly, properly, and efficiently, and that they really think along with you. If you handle it internally, you remain vulnerable and dependent on just one person. Continuity is better safeguarded with VDS, and you avoid disruptions in the process.”

Amid the flurry of new processes and systems, Kooi also stands on the brink of a large-scale Microsoft implementation. “A big player like that often works in a fixed routine,” Marcel explains. “The risk is that they treat it as a standard assignment and fail to delve into our specific needs. As laypeople, we often accept that, but VDS dares to ask the critical questions—and sometimes, in a refreshingly stubborn way, they even suggest improvements. I really appreciate that.”
